Replacement Asset Ingest – Incoming Partner Media Matching Guide

Purpose

This guide explains how to process replacement assets when a previously ingested asset has failed HQC and a new version (v2, v3, etc.) has been delivered.

1. Locate Assets Requiring Replacement

In the LIVE_zoo_viacom_pluto base, find the asset in hqc_failed status that requires a replacement version.

These replacement files will typically be delivered as a v2, v3 or later version of the original asset.

2. Reset the Asset for Re-Ingest

In the LIVE_zoo_viacom_pluto base:

  • Clear the source_file_name field
  • Change the asset status from hqc_failed to pending_media

This prepares the asset to accept the replacement media file.

3. Locate the Replacement Asset

Navigate to the incoming_media view in the traffic base.

Locate the replacement asset that has been delivered by the partner.

Copy the ID from the left column.

4. Match the Replacement Asset

Navigate to the media_orders_pending_material view also in the traffic base.

The asset should now appear after being moved back to pending_media status.

Before matching:

  • Untick Match Approved
  • Clear any existing value in the incoming_media field

Paste the replacement asset ID into the incoming_media field.

Tick Match Approved.

5. Confirm Ingest Has Started

Return to the LIVE_zoo_viacom_pluto base.

Verify that ingest is now in progress.

This confirms that the replacement asset has been successfully submitted for ingest.

6. Timed Text Replacement Only

If only the Timed Text has failed and the video asset does not need replacing, the process is slightly different.

For caption replacements, clear:

  • source_cc_file
  • sidecar_cc_file

For subtitle replacements, clear:

  • source_sub_file
  • sidecar_sub_file

Once the relevant fields have been cleared, change the asset status from failed to pending_subtitles.

Navigate to the media_orders_pending_timed_text view in the traffic base.

Before matching:

  • Untick Match Approved
  • Clear any existing value in the incoming_media field

Locate the replacement Timed Text file in the incoming_media view and copy its ID.

Paste the new ID into the incoming_media field.

Tick Match Approved.

There is no need to update the timed_text_type field when processing a Timed Text replacement.

7. Confirm Timed Text Ingest Has Started

Return to the LIVE_zoo_viacom_pluto base.

Verify that the asset has moved out of pending_subtitles and that processing is now in progress.

This confirms that the replacement Timed Text asset has been successfully submitted for ingest.
