This notice is informational and does not form part of your employment contract.

What personal data do we collect?

As an employee or long-term contractor of FooEngine, we collect personal data that is necessary to manage your employment or engagement and to meet legal obligations.

  • Personal email address
  • Phone number
  • Working location
  • Current and previous addresses

Employment Information

  • Job title and role
  • Start date
  • Employment or contract type
  • Salary or fee details
  • Bank account details
  • Time off, sickness, and absence records

Systems & Security Data

  • IP address and access history to FooEngine systems
  • Details of devices used to access work systems (e.g. operating system, security compliance status)
  • Date of birth
  • Nationality
  • Passport, ID, or right-to-work information (where required by law)

Emergency & Welfare Information

  • Next of kin details
  • Emergency contact information
  • Limited health information, where necessary to protect your vital interests
  • Profile photo
  • Website or social media links (e.g. LinkedIn) where you choose to provide them

Why do we collect this data?

We use your personal data responsibly and lawfully for the following purposes:

  • To communicate with you
  • To pay your salary or fees
  • To manage time off, sickness, and absences
  • To provide access to company systems and tools
  • To maintain information security and protect company and client data
  • To meet legal and regulatory obligations
  • To respond to emergencies and protect your wellbeing

Where consent is required, we will ask for it explicitly.

Where is my data stored?

Where possible, FooEngine stores personal data within the UK or EEA.

Where data is processed outside the UK/EEA, appropriate safeguards are in place, such as:

  • UK GDPR-compliant Standard Contractual Clauses
  • Vendor data-processing agreements
  • Appropriate technical and organisational security measures

FooEngine uses reputable third-party platforms for email, document management, payroll, device management, collaboration, and cloud infrastructure. Each supplier is assessed to ensure appropriate data protection standards.

Do you share my data with third parties?

Yes — but only where necessary and appropriate.

Your data may be shared:

  • With third-party systems used to run the business (e.g. payroll, HR, IT, collaboration tools)
  • Where disclosure is required by law or regulation

We do not sell personal data.
